1. Who we are

PubScope is an academic journal intelligence platform operated in the European Union. This policy explains what data we process and why. Questions: contact us or email [email protected].

2. What we collect

  • Account data — your email address, and (if you sign in with Google or ORCID) your name and profile photo. With magic-link sign-in we only store your email.
  • Usage & security data — when you sign in we record your IP address, approximate location (city/country), device/browser type, and timestamps. We use this to secure accounts and prevent abuse.
  • Content you submit — the abstract or PDF you submit to the Journal Finder, the manuscript you upload for Paper Review, or the reference list you paste into Reference Check is processed to generate results. Manuscripts are processed in memory and never stored on our servers. Abstracts may be cached briefly to speed up repeat queries. We do not sell your content.
  • Cookies — an essential sign-in session cookie, and (for visitors who aren't logged in) a small counter cookie that tracks your one free trial. We also run a self-hosted, cookieless analytics tool (Umami) that counts page views without identifying you — no IP address is stored. We don't use advertising cookies.

3. How we use it

To provide and secure the service, generate journal recommendations, send transactional emails (sign-in links, reminders you opt into), and improve PubScope. We do not sell your personal data or use it for advertising.

4. Service providers we share data with

  • Google and ORCID — only if you choose to sign in with them.
  • Cloudflare — CDN, DNS, and email routing.
  • Resend — sending transactional emails.
  • AI providers (Google Gemini, DeepSeek) — for AI features (Journal Finder explanations, the Ask Advisor, Paper Review, and cover letters). The text you submit — an abstract, question, or manuscript — is sent to the relevant provider to generate the result. Manuscripts are processed in memory and never retained by us or our providers beyond the single request. We do not sell your content.
  • Polar.sh — payment processing, only if you subscribe to Pro.

5. Data retention

We keep account data for as long as your account is active. Usage and security logs are retained while needed to operate and protect the service. You can ask us to delete your account and associated data at any time.

6. Your rights

Under the GDPR and Turkey's KVKK you can request access to, correction of, or deletion of your personal data, and object to certain processing. To exercise these rights, email [email protected].

We may update this policy as the service evolves. Material changes will be reflected by the date below.
